APTIM Project Business Administrator in Dallas, Texas
The Project Business Administrator will be responsible for the performance of all Project Administrative functions to ensure tasks are completed in an efficient and effective manner and in accordance with Company and Standard Operating Procedures. May be responsible for Project Administrative functions at multiple projects. Administrative Support for projects as required by the specific project(s) being supported.
Handle daily and weekly timekeeping tracking if warranted.
Handle issues relating to per diem eligibility per contract and per diem administration.
Responsible for the mobilization and demobilization of projects, (initial project set-up including transportation, lodging, communications, field office facilities, equipment, and essential services).
Arrange project personnel transportation for monthly rotations.
Responsible for use and reconciliation of Company Purchasing Card.
Act as Custodian of Field Petty Cash Fund for small dollar project expenditures.
Track, monitor and report on open commitments and provide project cost accrual information regarding material, equipment, and subcontractor costs to Project Controls and Project Management.
Responsible for the timely and accurate reconciling, cost coding and processing of all project vendor/subcontractor invoices.
Ensure receipt and compliance with subcontractor certified payrolls.
Assist Project Managers with client billing support where required.
Possess good working knowledge of JD Edwards Enterprise One (Job Cost, Procurement, Accounts Payable, and Equipment modules).
Assist Project Managers with both client requests and inquiries, and vendor/subcontract requests and inquiries.
Responsible for monitoring of all company owned equipment (including low value equipment) and third party rental equipment at field projects. Review Project Expense Reports for accuracy and completeness if requested.
Bachelor's Degree in Accounting/Business or related discipline preferred.
3+ years of field project experience.
Ability to coordinate efforts with project personnel.
Requires problem solving and decision making skills.
Ability to multi-task.
Ability to identify and prioritize critical task.
Proficient in computer applications such as Outlook, Excel, Word
Highly proficient in data entry and reconciling issues relating to costing and time entry.
Able to handle and protect confidently information.
